As recommended by the AUA Education Council, the AUA Board of Directors has approved guidelines regarding speaker/faculty participation at industry exhibits or events during the AUA Annual Meeting.

Preparing Your Presentation

Please note that for AUA2019 all session room presentation equipment will be in high definition projection. You must create slides in a 16:9 format. This format allows approximately 16% more viewable space and 183% sharper images than a standard 1024 x 768 4:3 formatted projector. If you do not create your slides in the upgraded aspect ratio, your presentation may appear incorrectly. Please read the instructions on creating your presentation in this format. Your slide presentation should follow this basic outline:

  • Slide #1: Title Slide
  • Slide #2: Disclosure Slide
  • List all commercial relationships relevant to your specific talk.
  • Ensure that the number of slides is consistent with the time allocated for the presentation (approximate rule of thumb is 1 slide per minute of presentation).
  • Presentation should not contain a discussion of financial, coding or reimbursement implications, with the exception of presentations that directly pertain to such topics.
  • If images, drawings or cartoons are included, indicate permission to use them.
  • If research data is included, cite the source.
  • Brand names should only be used for clarification. For example, the first time you may list Sipuleucel-T (Provenge), but for following occurrences you should only use Sipuleucel-T.
  • If one brand name is used, all brand names must be included to ensure the program is balanced.
  • Avoid abbreviations, unless you are sure all attendees know what they mean.

Presentations can be submitted in advance of the meeting via the Presentation Submission Site or onsite in Chicago in the Speaker Ready Room in the McCormick Place.

Speaker Check-in

  • Speakers are REQUIRED to check-in at the Speaker Ready Room 24-hours prior to their scheduled presentation to review/upload their presentations. The audio-visual technicians need to test presentations to ensure they will display appropriately in the actual session room. If your presentation takes place on Friday, please check-in at your earliest convenience.
  • The computers in the Speaker Ready Room will be configured with hardware and software exactly like the computer in the session rooms.
  • Always review your presentation in the Speaker Ready Room especially if it contains video files, or if it was created on a Mac. Mac presentations must be converted to PC format in the Speaker Ready Room because all presentations in the session rooms are administered on PCs.
  • Once you are comfortable that your presentation is complete, inform the Speaker Ready Room technician that your presentation is ready to be uploaded to the central server.
  • Confirm the date, time, and room for your session.
  • Be sure to check-out of the Speaker Ready Room before leaving.
  • To access your file(s) on the server for subsequent viewing/edits, you must provide appropriate I.D. (i.e., driver's license) to access/checkout the file. When completed, inform the technician of any changes so the file can be uploaded to the server and the old version removed.
